WhatsApp: how it works

Oxpea has a single WhatsApp number for every hotel. You connect and pay for nothing: notices go out with your hotel’s name.

What your guests get

If the guest accepts when booking, they get the confirmation, cancellation, changes, arrival reminder and check-in link on WhatsApp. They can also write with questions: only people with a booking get an answer, and a message from someone without one is not stored.

What you see

In Configuración → Comunicación con el huésped → WhatsApp you see Oxpea’s number, which notices go out and the status of each template: approved, in review, rejected or not created. There is nothing to switch on.

  1. 1

    Prepare your knowledge base

The AI concierge needs your details (hours, rules, services) before it answers on its own; complete them in Configuración → Comunicación con el huésped → WhatsApp.

  2. 2

    Test the concierge

In Configuración → Comunicación con el huésped → WhatsApp you can simulate a guest question to spot gaps before a customer sees them.

  3. 3

    Link your phone

In Configuración → Equipo y seguridad → Equipo press “Link my WhatsApp”: it gives you a 6-digit code to send to Oxpea’s number, and from then on you talk to your hotel’s copilot there.

  4. 4

Set a PIN for sensitive actions

In Configuración → Equipo y seguridad → Equipo click «Set PIN» (6 digits). You use it to confirm bulk prices, payments and corrective invoices over WhatsApp: the bot asks for it after «Yes, apply». Five wrong tries lock it for 30 minutes.

Important

Health data is never sent over WhatsApp. Anyone who wants no more notices writes BAJA and stops receiving them.

Tips

  • If you change a guest’s phone on their booking, the notices move to the new number on their own.
